Complete

From the call for abstracts to the last invoice

Submission, review, programme, registration, payment and invoicing are one system on one database — which is why an accepted abstract can change what its presenter pays, with no export in the middle.

A published price — and it is the one on your invoice

Every package and plan price is on this site. The published list and the list we bill from are compared value by value by an automated test that runs on every change we push.

Why one system

What happens in one module changes the next one by itself

Three things a congress office needs every year that no combination of separate tools can do — because they need the review, the registration and the invoice to be the same system.

An accepted abstract unlocks the speaker rate on its own

Write the rule once: when an abstract reaches the status you choose, its presenter — or the first author, or every author — is granted a reduced fee, a free ticket, or the speakers’ dinner. Withdraw one of two accepted abstracts and the right stays; withdraw the last and it goes. Nobody exports a list, and nobody edits a registration by hand.

Session chairs build their own sessions

Open an editing window, decide which abstracts each chair may draw from, and let them place their own talks and running order. Where you allocate abstracts per session, two chairs can never schedule the same one. It replaces the programme spreadsheet that goes round forty people by email.

Next year’s congress starts as a copy of this one

Duplicate a finished event with its modules, options, disclaimers, flags, cancellation policies, badge templates, sessions and public site — every date moved by the same offset into the new cycle. Last year’s participants, abstracts and invoices stay where they belong: in last year’s event.

What vCongress improves in daily operations

Organizer setup and governance

Configure event modules, timelines, policies, and operational roles through structured workflows.

Submission and review quality

Collect abstracts, orchestrate reviewer assignments, and run transparent decision workflows.

Participant lifecycle continuity

Support registration, profile updates, options, and invoice context in one participant workspace.

Financial process control

Handle invoices, transactions, reminders, overdue handling, refunds, and cancellation policies.

Controlled communication

Send targeted notifications with recipient preview before dispatch to reduce communication risk.

Security and traceability

Use role-scoped access, passkey-capable login, tenant OIDC options, and operational event visibility for audit-ready delivery.

Public event presence

Publish event pages, schedules, and searchable abstracts with static export and retry-aware delivery.

Enterprise participant access

Choose local registration, optional SSO, required tenant SSO, or invite-only entry depending on event policy.

Built around real conference complexity

Complexity before participant count

Registration-only events, scientific meetings, congresses, and advanced congresses need different workflow depth. vCongress models that explicitly instead of reducing every event to attendee volume.

Commercial clarity for organizers

Tenant admins see plan and usage context, while catalog changes, commercial overrides, and invoice-trigger settings remain controlled by SciSerTec platform admins.

Single event or long-term platform

Start with a one-off Event Package or run recurring conferences through SaaS. The product model stays clear while operations, security, and participant payments remain in one platform.

Commercial Model

Scalable pricing with optional process-fit extensions

vCongress combines SaaS subscription, event execution packages, and reusable custom extensions. You get predictable platform costs and clear scope for advanced requirements.

Pricing baseline

Event Packages start at €1,490 one-time for a single registration event. Recurring organizers use SaaS from €290/month plus reduced event execution from €290/event; Starter Pilot is available as a low-risk validation path.

Transparent model, no hourly scope drift

Custom extension principle

No isolated customer forks: extensions are delivered as reusable platform modules with optional maintenance and co-development options.

Frequently asked questions

Can vCongress support both organizers and participants in one system?

Yes. vCongress includes organizer workflows (event setup, submissions, finance, notifications) and participant-facing journeys (registration, profile, submissions, invoice/payment context).

Does the platform support review and abstract workflows?

Yes. vCongress supports abstract intake, review configuration, and decision-related process steps.

Can we present events publicly with calendar and custom web pages?

Yes. vCongress supports public event presentation with calendar-oriented visibility and modular custom web presentation options, so organizer teams can align event communication with their brand and structure.

Can vCongress support recurring annual events without rebuilding everything?

Yes. Recurring events can reuse core configurations, workflows, and communication structures, then be adjusted per cycle instead of rebuilt from zero.

Can we integrate vCongress with existing systems like CRM, payment, identity, or university tools?

Yes. Integrations are delivered through reusable extension packages, with scope based on system complexity and required data synchronization.

Does vCongress support enterprise SSO for organizers or participants?

Yes. Tenant-scoped OIDC/SSO can be configured for Enterprise or custom identity projects, including Microsoft Entra ID and Keycloak-compatible providers. SAML is handled as a separate enterprise integration scope.

How does pricing work for recurring events?

Pricing combines SaaS subscription, event execution, and optional extension packages. Visit Pricing for the full structure.
